Planning a fun birthday is exciting… but it can also feel overwhelming. Guest list, food, weather, entertainment, and safety all land on your plate at once. A laser tag birthday checklist helps parents stay organized before guests arrive.
This checklist walks you through birthday party planning step by step, from one month before the party right up to the last slice of cake. GAMEYARD brings the missions, equipment and game coaches; you focus on enjoying the day with your loved ones.
Laser Tag Birthday Checklist: What to Prepare
1 Month Before: Booking Your Date & Sending Invites
1) Choose your date, time, and place
- Pick a date that works for your family and your child’s closest friends.
- Decide on morning/afternoon/evening depending on age.
- Choose a suitable yard, driveway, condo green area, indoor venue or approved public space. The customer selects and books the location and obtains any required reservation, permit and activity approval. The site operator must allow the activity, and GAMEYARD must confirm that the proposed play area is suitable.
2) Book your laser tag session
- If parents or older siblings may join, include them in the confirmed player count and review how adults can participate in a kids laser tag party.
- Select the birthday package you like.
- Ask about space, safety, and timing so you know exactly what to expect.
- A $100 deposit reserves the date and goes toward the event total.
3) Send invitations
Include:
- Date, time, and address
- What to wear (comfortable clothing and footwear suitable for active movement)
- A quick note that gameplay uses eye-safe infrared technology, is no-contact, and is supervised by trained game coaches
- Aim to collect RSVPs at least two weeks before the party.
1 Week Before: Prepping the Space & Final Details
1) Walk your yard like a game coach
- Put away hoses, toys, tools, and anything kids could trip on.
- Pick up rocks, sticks, and pet toys.
- Plan where pets will stay during the event.
2) Confirm headcount and needs
- Check in with any parents who haven’t replied.
- Note allergies or accessibility needs and share them with our team.
3) Coordinate logistics with us
- Where we should park and unload
- How to access the play area
- Rough schedule (game first then cake, or cake after)
4) Watch the weather
For heavy rain, storms, or extreme heat, talk to us about the safest plan. Safety always comes first.
The Day of the Party: Game, Food & Fun
1) Get the space party-ready
- Set up a welcome spot so families know where to go.
- Prepare a simple snack and drink table away from the play area.
- Keep decorations easy to see and out of the running path.
Our crew arrives before the scheduled rounds to set up the agreed play area, taggers and Base Zone. GAMEYARD manages the mobile laser tag activity itself. The host continues handling venue access, food, allergies and guests outside the active play area.
2) Time food and cake around the game
- Light snacks and water before and between missions
- Heavier food and cake after the main game block
- Think “mission fuel” snacks: fruit, veggies, chips, and a simple laser tag themed cake or cupcakes
3) Simple extras (optional)
- A colouring table for “mission badges”
- A small photo corner with fun props
- A quiet spot with board games or LEGO for kids who need breaks
While we run the missions, you’re free to cheer, take photos, and actually enjoy the party.

After the Game: Memories & Wrap-Up
1) Cool-down moment
- Take a group photo while everyone is still in “mission mode.”
- Serve cake and snacks while kids talk about their favourite moments.
2) Birthday Media Pack (optional)
The $100 Birthday Media Pack includes 20 edited photos, all unedited photos and one 60-second highlight video, delivered within 48 hours. Drone footage may also be included when the venue permits it and the space and conditions are suitable.
3) Quick tidy and thank-yous
We pack up the field and equipment. You:
- Check for jackets, bottles, and gifts
- Send a short thank-you message or photo to parents later that day or the next
