School fun day activity station with a GAMEYARD coach and students beside a Base Zone using infrared taggers outdoors
A GAMEYARD coach and students beside a Base Zone at an outdoor school event.

A coach-led activity station fits a school fun day when it has an approved play area, defined participant groups, realistic transitions and a clear division of responsibilities. The school manages the overall event and students outside active play; GAMEYARD manages the equipment, briefing, rounds and supervision inside the agreed activity area.

The Schools, Camps and Groups service is the starting point for a quote. Organizers can also review GAMEYARD’s school event safety protocol and large-event rotation guide while planning the station.

Define the station before building the full schedule

Identify the indoor or outdoor area that could be used, the number and age range of participants, the event window and the size of each group moving through the station. Keep entrances, exits, emergency routes and unrelated foot traffic outside the proposed play area.

The school does not need to invent the missions or round structure. GAMEYARD reviews the verified inputs and proposes how the activity can operate. The final number and length of rounds depend on the space, group size, objectives, transitions and the time available.

Weather or location changeMake the school or venue decision, confirm the alternate area and notify the event contact.Review whether the changed area supports the agreed activity plan and revise the operating format when needed.

Plan the activity area

The proposed area should have enough open space for the planned movement, a clear entry and exit, a place for the briefing, and separation from students who are moving to other stations. GAMEYARD establishes boundaries and a Base Zone after reviewing the area.

Players use taggers with eye-safe infrared signals in a structured, non-contact activity. The coach explains how to use the tagger, the selected objective, the boundaries, the Base Zone, start and stop signals, and how to ask for help before the round begins.

Create participant groups and transitions

Prepare group lists before the event. Each group should know where to report, who escorts it, and where it goes after the round. Include enough transition time for students to leave the play area, return equipment when directed and allow the next group to receive its briefing.

For larger attendance, structured rotations can place one group in active play while others take part in another supervised station, have a water break or prepare for their turn. There is no universal timetable: GAMEYARD builds the round and rotation approach from the confirmed participant count, event window, space and school requirements.

Keep outside supervision separate from active-play supervision

GAMEYARD coaches supervise the active play area during the agreed activity. The school or organizer remains responsible for students who are waiting, moving between stations, using washrooms or snack areas, and participating elsewhere in the fun-day program.

This division should be written into the event plan and shared with teachers, volunteers and the on-site contact. It avoids a common gap in which adults assume another person is watching a group outside the station.

Confirm setup and pack-down access

The station needs an access window before the first group arrives and time after the final round for pack-down. Confirm loading, parking, locked doors, elevators, field access, furniture moves and the person authorized to resolve site questions.

After the final group, the crew accounts for the event equipment, removes the GAMEYARD setup and hands the agreed activity area back to the organizer. The school manages the wider event cleanup and any other stations.

Prepare for weather or a location change

For an outdoor station, the school should identify who makes the weather decision and whether an indoor alternative exists. The alternate space must still be reviewed; moving indoors does not automatically mean the original round plan will fit.

GAMEYARD’s end-of-school-year activity ideas can help position the coach-led station within a broader celebration without replacing the school’s own event plan.
